The Executive Assistant to the CEO serves as the primary support to the CEO, ensuring seamless coordination and communication across all departments. This role safeguards and manages confidential documents, monitors departmental updates through executive summaries, and coordinates meetings, schedules, and high-level administrative tasks. The Executive Assistant creates and cascades official memos, supports ongoing executive and departmental projects, and facilitates smooth interactions with internal teams, partners, and clients. By ensuring alignment across the organization, the Executive Assistant enables the CEO to focus on strategic priorities and decision-making.

RESPONSIBILITIES:

  • Prepare accurate and timely financial statements, reports, memos, invoices, correspondence, and other business documents.
  • Manage and coordinate the CEO's and other executives' schedules, appointments, and daily priorities, ensuring optimal time management and readiness for all engagements.
  • Anticipate and address the logistical and administrative needs of executives to support smooth daily operations.
  • Manage and route incoming calls, messages, and inquiries to the appropriate parties with professionalism and discretion.
  • Perform basic bookkeeping and expense tracking in coordination with the Finance team.
  • Maintain and retrieve corporate records, legal documents, and reports for executive use.
  • Conduct research and compile data to prepare materials for review and presentation to the Board of Directors, committees, and senior executives.
  • Coordinate and support meeting preparation, including agenda setting, materials compilation, and logistical arrangements.
  • Record and distribute accurate minutes of meetings in a timely manner.
  • Welcome and manage visitors, determining appropriate access to the CEO and other executives.
  • Utilize various software tools—including word processing, spreadsheets, databases, and presentation programs—to produce high-quality deliverables.
  • Review, prioritize, and distribute incoming correspondence, memos, and submissions as necessary.
  • Arrange and manage complex travel itineraries, accommodations, and schedules for executives.
  • Oversee office administrative functions, including supply management and records database maintenance.
  • Provide virtual assistant support when required, ensuring efficient remote operations.
  • Manage incoming and outgoing communications, including emails, faxes, and packages.

    Deliver general administrative and operational support to the CEO and executive leadership team.
