Job description:

Qualifications:

  • Must possess a Bachelor's Degree in any 4-year course, business-related course is preferred
  • New graduates are welcome to apply; with 6 months to 1-year working experience as an Executive Secretary or Secretary performing clerical functions such as filing, scanning, scheduling appointments, meetings, travel arrangements, and bookings is preferred
  • Excellent written and verbal communication skills
  • Good interpersonal skills
  • Good problem-solving, analytical thinking, and time-management skills
  • Keen attention to detail, with great flexibility and proactive.
  • Proficient in MS Office applications (Word, Excel, PowerPoint, Outlook, etc.)
  • Comfortable in fieldwork
  • Willing to work onsite in our Head Office located in BTTC Centre, San Juan City, Metro Manila

Brief Key Responsibilities:

  • Handle and safeguard confidential documents and communications of the Executive.
  • Perform administrative functions such as word processing, data entry, copying, and filing.
  • Manage and maintain the Executive's calendar, scheduling meetings and appointments, and preparing necessary materials.
  • Coordinate the Executive's activities and liaise with internal departments and external partners.
  • Screen and prioritize incoming calls, visitors, correspondence, and reports, alerting the Executive to urgent matters.
  • Act as the point of contact between the Executive and other departments, transmitting directives and following up on assignments.
  • Maintain an organized system for managing records, including minutes of meetings, memoranda, and contracts.
  • Coordinate travel arrangements, including flight bookings and hotel accommodations, and assist with out-of-town events and business planning.
  • Receive, sort, and distribute business mail, ensuring proper documentation and tracking.
  • Ensure the efficient operation of office equipment and manage the procurement of office supplies for the Executive.
  • Prepare and maintain logs of communications, documents, and files handled by the Executive.
  • Perform additional tasks as assigned by the Executive.
