We are seeking a proactive and detail-oriented Virtual Assistant to support the Marketing Coordinator and Sales Team.

This role combines administrative support with creative marketing tasks, ensuring our day-to-day operations run smoothly while helping us create engaging, on-brand content across multiple platforms.

This is the perfect role for someone who is highly organised, has strong communication skills, and enjoys being both creative and process driven.

Responsibilities

  • Administrative

o Manage and respond to general enquiries via email.

o Maintain business calendars and reminders for key events or deadlines.

o Prepare meeting notes and follow-up action lists.

o Help prepare written standard operating procedures.

o Track follow-up status and flag uncontacted leads.

o Send follow-up emails to cold leads.

o Assist in updating and maintaining CRM records (Pipedrive), ensuring lead information is accurate and up to date.

o Coordinate with sales consultants to ensure timely lead handover and follow-ups.

  • Marketing

o Support the in-house marketing coordinator with digital marketing tasks.

o Assist with social media content creation and calendar management.

o Schedule and publish approved content on social media platforms.

o Assist in creating captions, hashtags, and CTAs based on brand guidelines.

o Prepare monthly marketing performance summaries (Meta, Google Ads, website analytics).

o Proactively suggest new content ideas, trends, and formats to enhance brand presence across social media, blogs, and email marketing.

o Assist in planning and brainstorming marketing campaigns, contributing creative concepts and seasonal/industry-relevant content ideas.

o Create basic graphics, short-form videos, and other marketing materials

o Research competitors and industry trends to identify opportunities for content improvement and audience engagement.

o Collect and organise customer testimonials and case studies for marketing use.

  • Skills & Experience

· Proven experience in a Virtual Assistant, administrative, or marketing support role.

· Strong organisational skills with the ability to manage multiple tasks and deadlines.

· Excellent written and verbal communication in English.

· Confident using CRM systems (Pipedrive preferred) and productivity tools (Google Workspace, Microsoft Office).

· Experience with social media content creation for Instagram, Facebook, and ideally TikTok.

· Proficiency with Canva to create basic graphics and marketing materials.

· Basic video editing skills with CapCut

  • Preferred

· Familiarity with WordPress or similar CMS for publishing blogs.

· Experience in real estate or building industry in Australia

· Able to interpret marketing data and provide insights.

· Knowledge of SEO basics and how to optimise content for web.

· Experience in content writing or copy editing.
