Admin Facility Officer

- Oversee preventive and corrective maintenance of buildings, warehouses and equipment.
- Supervise repairs of electrical, plumbing, mechanical and HVAC systems.
- Manage and monitor daily facility operations to ensure cleanliness, safety and efficiency.
- Handle procurement materials, tools, and supplies needed for maintenance and repairs.
- Prepare and process purchase requests, canvassing and coordination for payments with Finance.
- Maintain inventory of assets, equipment, tools and spare parts.
- Handle property related legal documents including titles, insurance, permits and lease agreements.
- Process and ensure timely payment of Real Property Tax (RPT) and other property-related fees.
- Liaise with local government offices, service providers and landlords for facility-related transactions.
- Conduct regular facility inspections and implement preventive maintenance schedules.
- Supervise vendors and contractors to ensure work quality, safety compliance, and adherence to contracts.
- Enforce health, safety and environmental standards in all facilities.
- Coordinate safety drills, maintenance programs, and emergency response activities.
- Prepare and submit the following reports: Facility Maintenance Report (weekly, monthly, annually), Property and Equipment Inventory Report, Real Property Tax Payment and Compliance Report, Procurement and Materials Utilization Report, Vendor Performance and Service Report, Facility Inspection and Safety Audit Report, Incident or Repair Completion Report.
Job qualification
- Graduate of BS in Civil Engineering, Business Administration, or any related course
- At least 3-5 years working experience in facility, warehouse or property management.
- Strong organizational and coordination skills.
- Proficient in MS Office applications.
- Strong understanding of building and and warehouse systems (electrical, mechanical, plumbing, HVAC).
- Knowledgeable in procurement procedures and budget monitoring.
- Familiar with property documentation, government permits, and real property taxation.
- Strong reporting, recordkeeping, and data management skills.
- Proactive and resourceful in solving technical issues.
- Ability to work independently and handle multiple priorities under pressure.
