Job Summary

We are seeking a proactive and highly organized Administrative Operations & Scheduling Assistant to handle both client communication and backend coordination for a dynamic remote team. This role combines administrative efficiency with operational precision—overseeing scheduling, managing dispatch tasks, and implementing AI tools that streamline workflows and boost productivity.

The successful candidate will be resourceful, adaptable, and capable of managing both routine and time-sensitive tasks while maintaining clear communication with clients and team members.

Key Responsibilities
  • Coordinate and oversee the day-to-day schedule of the business, ensuring tasks are completed on time.
  • Serve as the main point of contact for client inquiries through calls, emails, or chat.
  • Organize and maintain client information, service requests, and task updates using CRM software.
  • Support administrative operations including document preparation, record-keeping, and reporting.
  • Utilize AI-based tools to enhance task management, automate repetitive processes, and improve workflow efficiency.
  • Manage scheduling conflicts or changes while maintaining smooth communication with clients and internal teams.
  • Prepare operational and performance reports to support data-driven decision-making.
Mandatory Skills
  • Strong English communication skills (both written and verbal).
  • Demonstrated experience in administrative or customer-facing roles.
  • Proficiency with AI-driven software and automation tools.
  • Excellent organizational and multitasking abilities.
  • Comfortable working independently in a virtual setup.
  • Attention to detail and ability to follow structured procedures.
  • Familiarity with CRM systems, scheduling software, and communication tools.
Preferred Skills
  • Experience using workflow automation tools (Zapier, Notion AI, or similar).
  • Background in remote team coordination or client management.
  • Fast learner with strong adaptability to new tools and systems.
  • Analytical mindset for optimizing operational efficiency.
