Data Entry Specialist / Order Management

Location: Dumaguete City (Hybrid Work Set-up: 3 days on-site, 2 days work-from-home)

Work Days: Monday to Friday

Work Time  (Aligned with Swedish hours):

  • CET (Central European Time - Late October to March) 2:00 PM – 11:00 PM PHT |
  • CEST (Central European Summer Time - Late March to October) 1:00 PM – 10:00 PM PHT

About the Role:

We are looking for a detail-oriented and efficient Data EntrySpecialist / Operative Purchaser to support a Swedish e-commerce business. You will be responsible for processing and managing web orders, ensuring accuracy in data entry, coordinating deliveries to customers in a timely manner, and even do necessary purchasing to fulfill the orders. The role requires excellent communication skills, attention to detail, and the ability to work independently as well as in a team.

Key Responsibilities:

  • Process and verify incoming e-commerce orders in our ERP
  • Coordinate with suppliers and internal teams to ensure timely and accurate order fulfillment
  • Update order information and delivery status
  • Inform customers about order status via email, providing professional and efficient communication
  • Identify and escalate order issues or delays, and proactively suggest solutions
  • Additional administrative tasks related to order processing and purchasing

Qualifications and Skills:

  • Educational Background: Business Administration, Data Entry, or a related field.
  • Experience:  At least 1–2 years of experience in order processing, data entry, back-office operations, or customer support, preferably within an e-commerce or BPO environment.

Technical Skills:

  • Excellent knowledge of Microsoft Excel
  • Experience with email management is an advantage

Soft Skills:

  • Excellent time management skills.
  • Strong decision-making and problem-solving abilities.
  • High attention to detail and accuracy in data entry.
  • Excellent written and verbal English communication skills.
  • A fast learner with the ability to adapt to new tools and processes quickly.
  • Self-motivated, reliable, and capable of working with minimal supervision.

Work Schedule:

  • Monday to Friday, aligned with Swedish business hours (CET).
  • Flexibility is required during peak order seasons.
