IT Asset Management Specialist

Asset Management

·       Create & maintain accurate information of complete hardware and software asset inventory and track asset attributes (attributes will be defined Mutually with CUSTOMER team) such as "State", "Sub-state", "assigned to" & location, Asset categorization etc.

·       Specific information pertinent to the single hardware asset

·       Physical location

·       Unique identifier of the asset

·       Support contract and information.

·       Identify opportunities to improvise and implement industry best IT Asset management practice.

·       Performance curves track asset condition and useful life.

·       Inform CUSTOMER on expiry of Warranty of assets.

·       Add and view attachments to both asset records and inspection records.

·       Set up preventative maintenance schedules on assets with the help of CUSTOMER SPOCs

·       Create, assign, and complete work activities with respect to asset management.

·       Receipt, storage, issuance of Assets/ accessories/ spares from stores. Updating of records against each transaction in Asset register/database. Unpack shipment of assets and visually inspect for any transport damage if any.

·       Validation of receipt of new consignment with Delivery challan/Invoice and PO copy

·       Asset reconciliation (with procured Vs install/in stock assets) on timely and regular basis. Report the discrepancies, if any, with justification

·       Placement of working/ non-working assets/accessories/ spares in stores for easy identification.

·       Get the non-working assets/ accessories/ spares, which are under warranty/AMC, to get replaced in time, to ensure that at any time non-functional assets/ Spares/ accessories should be as minimal (target can be decided later). Logging calls with OEM to repair assets needs to be taken care by Partner.

·       Stores inventory to be published on regular basis. Reporting format can be finalized with Asset team from Partner.

·       Deployment /Installation/ Movement of issued assets on requested location (against valid ticket#). In case of movement of Assets intra-centers, required documentation and other logistics arrangement to be done by Asset team in tool as well as manually (cost of transportation and labour charges would be bear by CUSTOMER)

·       Obtain confirmation from end user on the movement completed, post which ticket should get updated accordingly.

·       Removing released/ un-installed assets from production floor, post confirmation from the desktop support team and respective TSD SPOC. Proper stacking of returned assets in stores. Updating of records in asset database within 24 hours of the transaction completed

·       Adhere to Asset disposal/retirement process and ensure all appropriate approvals and document in place. Records updating post disposal completed and to be kept in central database with certificate of disposal for records.

·       Intimation to Central Asset team (CUSTOMER) on expiry of any Warranty/ AMC at least before 2 months expiry

·       Refresh asset reports and Capacity reports.

·       Track and get the Asset/spares send out of CUSTOMER premises on returnable basis. Keep stakeholders informed on regular basis.

·       Monthly dashboard for IT Asset management to be shared by Asset management team from Partner. Content in dashboard to be included has to be at par of industry standards, which showcases the complete asset inventory with stocks available.

·       Meet defined Service levels (SLA) for asset management and publish monthly SLA reports.

·       Transformation participation and adoption by teams for any automations/new tools introduction for asset management

·       Track and manage assets as per section per new Future of Work model (Work from Home, Work from Office and Flexi Working)

·       Asset Tagging with tags provided by CUSTOMER.

·       Complete Store Management is part of the scope.

·       Partner to take complete ownership of the above-mentioned Asset management processes & policies.

Asset Hardware Removal control

·       Determine and document whether, and in what circumstances, to permit the removal of IT hardware assets from premises that house CUSTOMER IT systems and data.

·       Document business needs for allowing the removal of IT hardware assets from CUSTOMER work environment and identify corresponding controls. Removal of IT hardware assets should be based on CUSTOMER's unique operating environment and needs.

·       Identifying and documenting Safeguards to protect IT hardware assets and data when IT hardware assets which are to be removed from premises.

Data Removal from IT Hardware Assets

·       Removal of Data from electronic media in accordance with the current practice. All electronic storage media shall have all CUSTOMER data properly removed prior to surplus, transfer, trade-in, disposal, or replacement." The primary methods for removal of data from IT hardware assets include overwriting, degaussing and/or physical destruction.

Inventory of IT Hardware Assets

·       CUSTOMER needs an inventory view and/or access to an inventory of the IT hardware assets used to support their mission and automated solutions. CUSTOMER and/or its PARTNER must know what IT hardware assets they have and where those assets are kept, to protect them.

·       Physical Check in/out of Assets is required and any suspicious activity would lead immediate suspension of partner resource and removal from CUSTOMER premises.

Software Asset Management Deliverables

Partner team will leverage existing asset management tool deployed in CUSTOMER IT ecosystem to perform below mentioned deliverables, it is assumed that tool deployed in CUSTOMER IT environment will feature rich to support following deliverables performed by Partner team

·       Software license compliance and audit readiness. Complete inventory of software licenses purchased Vs installed

·       Prohibited unauthorized software and malware – Regular check and reporting (monthly reporting) on unauthorized software with uninstallation success rate.

·       Track all software installations and license purchases.

·       Allocate licenses to individual software installations, against request, to find the over and under-compliant software.

Key Consideration for Software Asset management

·       SAM Process will own by CUSTOMER, Partner team will work at an execution layer and followed polices and process defined by CUSTOMER.

·       No Legal and commercial liabilities on Partner

·       Third party /OEM Audit for software licenses will be owned by CUSTOMER. Partner will support Audit task.

·       SAM tool should be available in environment.

·       SAM deliverables will be measured as KPI.
