Position Overview

We're looking for a hands-on, detail-minded VA to help keep our property management operations running smoothly. You'll use tools like PropertyMe, Inspection Express, and Zoho to stay on top of daily tasks, keep communication flowing, and make sure everything stays on track and compliant.

Key Responsibilities and Tasks

PropertyMe

  • Assist with leases, renewals, followups, and document uploads.
  • Generate monthly and ad-hoc reports for management as requested.

TRA ( Trading Reference Australia (Tenancy Application system)

  • Process and followup applications & Provide summaries on each application with recommendation once completed.

Inspection Express

  • Type and format Property Condition Reports (PCRs) from voice recording.
  • Support scheduling of routine inspections.
  • Compare ingoing and outgoing inspections, identifying discrepancies.

Zoho (CRM & Workflow Support)

  • Track maintenance requests and log progress updates.
  • Assist with automation, dashboards, and workflow processes.

General Administration

  • Draft letters, leases, breach notices, and compliance documentation, take dication.
  • Upload property listings to online portals and social media.
  • Maintain digital filing systems and ensure compliance with internal processes.
  • Support the Executive Operations Manager in Adhoc admin as assigned.
  • Support the Licensee/Director in adhoc admin duties as assigned
  • Basic invoice and account entry

Experience Required

  • Prior experience in a property management office or real estate support role.
  • Demonstrated use of PropertyMe, Inspection Express, and Zoho in day-to-day operations.
  • Exposure to property advertising, tenant communication, and compliance processes.

Qualifications and Requirements

  • Training or demonstrated competency in PropertyMe, Inspection Express, and Zoho.
  • Stable internet connection, secure remote workspace, and proficiency in MS Office.
  • Understanding of WA Residential Tenancies Act.
  • Adaptability and flexibility

Desirable and Preferred Attributes

  • Previous experience supporting multiple property managers in a busy office.
  • Familiarity with other real estate CRMs or digital workflow platforms.
  • Professional, proactive, and customer-focused approach.
  • Able to take constructive criticism and feedback to continue to grow.
  • Ability to adapt quickly and support business growth.
