Position Summary:
The Administrative Staff is responsible for providing comprehensive support to ensure efficient operation of the office. The role involves handling day-to-day administrative tasks, assisting management and staff, maintaining organized records, and ensuring smooth communication within the organization and with external stakeholders.
Key Responsibilities:
- Manage daily office operations, including filing, data entry, record keeping, and correspondence.
- Prepare, organize, and maintain company documents, reports, and records.
- Handle incoming and outgoing communications (emails, phone calls, memos, etc.).
- Assist in scheduling meetings, preparing agendas, and documenting minutes.
- Support HR and Accounting in filing employee records, timekeeping, attendance, and expense reports.
- Monitor and replenish office supplies and coordinate with suppliers as needed.
- Assist in processing permits, licenses, and other government-related documents when required.
- Provide general support to managers, supervisors, and other staff.
- Perform other administrative duties as may be assigned by management.
Qualifications:
- Bachelor's degree in Business Administration, Office Management, or related field preferred (but not always required).
- Proven experience in an administrative or office support role.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) or Google Workspace.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Detail-oriented, proactive, and reliable.
