HR/ Admin Assistant

Responsibilities as ADMIN:
- Answer incoming calls, emails and other communications
- Serve as a point of contact between employees, clients and external partners.
- Monitor office supplies and place orders as needed.
- Coordinate and manage appointments, meetings, for executives or team members.
- Organize and securely manage both digital and physical documents.
- Prepare, proofread, and edit documents and presentations.
- Assist preparing reports, presentations, and documents for internal and external use.
- Assist in planning and organizing company events.
Responsibilities as HR:
- Coordinating with partner schools regarding job fairs, internship programs, and job openings within the company
- Posting internship opportunities available in the company
- Coordinating with the administrative team responsible for the staff house and overseeing its overall management, including regular monitoring and monthly inspections (e.g., cleanliness and maintenance)
- Reviewing contracts, particularly those related to partner schools and memoranda of agreement for interns
- Issuing notices to explain and suspension letters to employees who violate company policies
- Facilitating the onboarding process for newly hired employees.
- Responsible for scheduling interviews and meetings through Zoom or Google Meet, with experience in utilizing Google Calendar and other relevant scheduling platforms.
Qualifications:
- Must be graduate of Business Management, Psychology course or equivalent of Administrative Assistant
- Preferably has experience as Admin Assistant
- Must be familiarized with canva, adobe photoshop or other editing software
- Quick learner with excellent problem-solving abilities
- Effective communicator, both verbal and written
- Proficient in MS Office and Google Workspace
- Strong sense of professionalism, confidentiality, and discretion
- Fresh graduates are welcome to apply
- Reliably commute to BGC or planning to relocate before starting work (Required)
