Job Summary:

The administrative staff is responsible for the majority of administrative duties in the company. This person is the one who will manage employee records, organize files, answer calls, and provide support for the whole of the company. As administrative staff, the ideal candidate will be highly organized, and able to handle financial records and expenses.

Detailed Job Description:

  • Everyday Planning: Plan daily transactions and tasks, including prioritizing urgent matters and preparing necessary documents.
  • Viber Updates: Provide timely updates through Viber.
  • Processing of Fund Requests: Use the Fund Request Form (FRF) with complete attachments. Once disbursed, post disbursement vouchers on XERO and ensure they are signed by managers.
  • Updating Records: Maintain accurate records of incoming and outgoing cheques.
  • Report Submission: Submit weekly and monthly reports to managers.
  • Collection Updates: Send weekly collection reports via email to managers, attach validated deposit slips to ORs, deposit daily collections the next banking day, and update XERO once payment is deposited.
  • Billing Statements: Prepare and submit billing statements for clients, maintain a summary of issued billing statements, and send to managers.
  • Preparation of DTR: Prepare DTR (every 11th and 26th) and forward it to the Payroll In-Charge.
  • Accountable Forms: Maintain and utilize accountable forms while keeping proper records on file.
  • Policy Adherence: Impose and observe the firm's policies.
  • Custodian Responsibilities: Manage the Revolving Fund. Maintain inventory lists for office properties. Keep a logbook for borrowed office property.
  • Office Maintenance: Ensure the office and quarters are clean by coordinating with co-workers.
  • Follow-ups: Check deliverables of other staff and ensure compliance completeness per Client In-Charge.
  • Liaison Tasks: Act as a liaison for external communication, coordination with clients or suppliers, and handling administrative errands outside the office.
  • Additional Responsibilities: Perform tasks assigned by the Founder & CEO. Undertake other necessary tasks in coordination with the Office Manager.
