Virtual Assistant – CRM, Data, and Prospecting Support

Salary Range: ₱30,000 – ₱35,000 PHP per month

Overview:

We are seeking a detail-oriented and tech-savvy Virtual Assistant to provide comprehensive support in prospecting research, CRM management, and data organization for a commercial real estate business. The ideal candidate is analytical, highly organized, and comfortable working with tools such as HubSpot, GoHighLevel, , CoStar, and LinkedIn Sales Navigator.

Key Responsibilities:
1. Prospecting Research & Data Enrichment
  • Conduct targeted research on potential commercial real estate prospects within specified regions (e.g., Ottawa and surrounding areas).
  • Verify and enrich prospect data using tools such as and CoStar.
  • Consolidate, organize, and validate existing prospect data from multiple sources, including legacy databases.
  • Build and maintain accurate, organized prospect lists in HubSpot.
2. CRM & Data Management
  • Clean, update, and maintain the client's CRM (HubSpot or GoHighLevel).
  • Import and manage verified data to ensure deduplication and accuracy.
  • Create structured pipelines, tagging systems, and segmentations for efficient tracking.
  • Integrate data from and LinkedIn Sales Navigator for complete records.
3. Call Task Preparation & Follow-Up Management
  • Prepare daily call tasks, call lists, and reminders within HubSpot, GoHighLevel, or
  • Track call outcomes, next steps, and follow-ups for continued engagement.
  • Provide weekly updates summarizing completed tasks and pending actions.
4. Reporting & Coordination
  • Generate regular summaries and reports on data quality, CRM updates, and pipeline progress.
  • Maintain professional communication with the client via Teams, Slack, or email.
  • Ensure data confidentiality and secure use of client-provided systems and credentials.
5. Administrative Support
  • Assist in other administrative or coordination-related tasks to ensure smooth day-to-day operations of the client's commercial real estate business.
Qualifications:
  • At least 2 years of experience as a Virtual Assistant, preferably in data research, CRM management, or real estate support.
  • Strong knowledge of HubSpot, GoHighLevel, , CoStar, and LinkedIn Sales Navigator.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills in English.
  • Reliable internet connection and ability to work night shift.
  • Proactive, analytical, and comfortable working independently with minimal supervision.
