Work Shift: 9:00 AM - 6:00 PM PHT, Monday-Friday

About the Role:

The Claim Assistant is responsible for managing and organizing project documentation,

ensuring the timely collection and verification of site reports, photographs, and supporting

documents required for claim submissions. The role involves close coordination with the site supervisors and the operations team to maintain accurate records and keep project tracking systems up to date.

Key Responsibilities:

  • Document Management
  • Download daily site reports and as-built drawings from designated communication channels and save them in the respective project folders.
  • Collect hard copies of daily reports and manpower timesheets from supervisors, then scan and upload them to the designated folders.
  • Gather documents such as invoices, work applications, delivery orders, survey drawings, schematics, and as-built drawings from the operations team.
  • Photo Verification
  • Review daily photo uploads in the project folders to ensure all required photographs are available.
  • Follow up with site supervisors to obtain any missing photos.
  • Re-check the arrangement of photos for completed jobs to ensure they meet submission requirements.
  • Manpower Tracking
  • Record details of manpower deployment based on updates from project communication channels.
  • Collect, scan, and file timesheets related to manpower deployment for various projects.
  • Claim Preparation
  • Perform daily follow-ups to ensure all necessary documents are ready for claims submission.
  • Update claim-related correspondence in the project master tracking list.
  • Add new work orders (WO) to the project master tracking list.
  • General Support
  • Handle other administrative tasks as required to support project and claim requirements.

Qualifications:

  • Degree in Project Management, Civil Engineering, or a related field.
  • More than 2 years of experience in administrative, project coordination, or site documentation roles.
  • Experience in the construction or utilities industry is an advantage.
  • Strong organizational and documentation skills.
  • Proficiency in MS Office and document scanning tools.
  • Effective communication skills for liaising with site teams and operations staff.
  • High attention to detail and ability to meet deadlines.
  • Proficiency in English
  • Proactive and detail-oriented.
  • Strong time management and multitasking abilities.
  • Team player with strong follow-up and coordination skills.
