Job Description: Virtual Business Administrator (Proserve )

Location: Remote (Philippines)

Salary: ₱40,000 – ₱70,000 PHP/month (depending on experience)

Hours: 40 hours per week (must overlap with UK business hours)

About Us

Proserve supports several growing UK businesses in construction, electrical services, aluminium fabrication, and waste management. Our ventures include PowerSource, Alumise, EnviroWorks, Crescent Building Contractors, and more. We're building systems, processes, and financial controls across these companies so they can scale. To support this growth, we're hiring a proactive Virtual Business Administrator who will work directly with the owner to get each business up to date, streamline operations, and then provide ongoing support across all ventures.

The Role

This is not a basic VA role. You'll act as the operational backbone of the businesses: implementing systems, managing finances and admin, and keeping the day-to-day moving. You'll work business by business—starting with PowerSource—before expanding to support the wider Proserve group.

We need someone highly organised, detail-oriented, and proactive, who can take ownership of processes and help us scale.

Responsibilities

Business Systems

  • Roll out and manage ServiceM8 for PowerSource (quoting, scheduling, invoicing, client comms).
  • Integrate systems with Xero, ClickUp, and Google Workspace.
  • Maintain and improve SOPs and task workflows across businesses.

Finance & Reporting

  • Manage invoices, bills, reconciliations in Xero.
  • Track payments, chase overdue invoices, and prepare weekly cashflow reports.
  • Consolidate financial reporting across multiple businesses.

Admin & Client Support

  • Inbox triage and professional client responses.
  • Schedule meetings, site visits, and coordinate suppliers.
  • Keep project trackers and Google Drive organised.

Project & Tender Support

  • Prepare tenders, variations, and formatted reports.
  • Send out tender packs, collate supplier quotes, and update trackers.
  • Liaise with subcontractors and clients when needed.

Marketing & Growth Support

  • Assist with website updates, social media scheduling, and Google Ads reporting.
  • Support proposals, case studies, and presentations.

Requirements

  • Proven experience in business administration, operations, or VA roles.
  • Strong organisational and problem-solving skills.
  • Proficiency in:
  • Xero or other accounting software
  • Google Suite (Docs, Sheets, Drive)
  • Project/task management tools (ClickUp, Trello, Asana)
  • Excellent written and spoken English.
  • Comfortable learning new systems quickly (training provided for ServiceM8).
  • Bonus: Marketing/social media experience.
