Overview

The
Sales Admin Specialist
is responsible for providing day-to-day operational support to all sales channel partners. This includes ensuring complete, accurate, and timely processing of external business partner sales orders within
Service Level Agreements (SLAs)
while adhering to company processes.

The role requires collaboration with multiple departments to address partner requirements, resolve inquiries, and provide
technical and logistical support
. The position also involves assisting in the development of
tailored system solutions
to meet the evolving needs of sales operations.

The ideal candidate will have experience in
Telco, FMCG, franchising, or other multi-channel/multi-branch operations
. This position reports to the
Sales Support Manager
.

Key Responsibilities

  • Order Processing & Monitoring
  • Process sales orders from all sales channels for external business partners.
  • Monitor payments, credit limits, invoices, and Official Receipt (OR) issuance.
  • Track virtual and physical inventory to ensure stock availability.
  • Monitor applicable inventoriable CAP limits when required.
  • Validate and monitor Creditable Withholding Tax.
  • Inventory & Supply Chain Coordination
  • Coordinate with Supply Chain to prevent stockouts.
  • Communicate stock situations with relevant stakeholders.
  • Logistics & Administrative Support
  • Provide logistical support to sales personnel, including:
  • Fleet cards
  • Purchase Requests (PR) creation
  • Workstations
  • Service vehicles
  • Assist in store rollout requirements (network setup, supplies, furniture, etc.).
  • Contract & Database Management
  • Manage contract-related tasks, coordinating with Legal, Finance, and other departments.
  • Maintain accurate customer and prospect databases.
  • Partner Support
  • Manage the Channel Helpdesk for partner inquiries and concerns.

Qualifications

  • Bachelor's degree in Business Administration, Accountancy, Management, Economics, or related field.
  • At least 3 years of experience in Sales Administration, preferably in telco, FMCG, or franchising.
  • Strong communication skills to effectively address operational concerns with partners.
  • Knowledge of CRM, POS, and SAP systems (an advantage).
  • Proactive, detail-oriented, and adaptable to new challenges.
  • Able to work independently or as part of a team.
