The Admin & Transport Coordinator is responsible for overseeing the scheduling, coordination, and tracking of transport operations to ensure timely and efficient movement of goods. This role also includes general administrative duties such as record-keeping, report generation, and supporting documentation related to transport and logistics activities.
JOB DESCRIPTION:
Transport Operations:
- Schedule and coordinate dispatches for deliveries and pickups, ensuring efficient routes and timely service.
- Track vehicle locations and monitor delivery progress to avoid delays.
- Communicate with drivers, third-party logistics providers, and internal teams to address issues or adjust plans as needed.
- Ensure compliance with local transport regulations, safety guidelines, and company standards.
- Assist in monitoring fuel consumption and vehicle maintenance schedules.
Administrative Support:
- Maintain accurate records of transport activities including delivery logs, fuel usage, driver attendance, and incident reports.
- Prepare and submit daily, weekly, and monthly transport reports.
- File and manage transport-related documents such as delivery receipts, permits, insurance papers, and maintenance records.
- Handle data entry related to logistics transactions and fleet performance.
- Coordinate with HR or admin for driver schedules, leaves, and documentation needs.
- Provide general administrative support to the logistics team, including inventory of transport supplies, office coordination, and communications.
Customer & Internal Coordination:
- Respond to customer and internal inquiries regarding delivery status or concerns.
- Collaborate with warehouse, operations, and sales teams to align transport activities with business needs.
Qualifications:
- Bachelor's degree in Logistics, Business Administration, or a related field (preferred but not required).
- Experience in transport coordination, logistics, or administrative support roles.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in MS Office applications (Word, Excel, Outlook); knowledge of fleet or logistics software is an advantage.
- Ability to multitask, prioritize, and work under minimal supervision.
- Familiarity with transport compliance and documentation is a plus.
