We're seeking a highly organized and detail-oriented Admin Officer to join our team. In this role, you'll manage company travel reservations, coordinate internal events, and handle key administrative functions. The ideal candidate should be resourceful, have excellent communication skills, and be capable of multitasking in a dynamic work environment.

Qualifications:
  • Bachelor's degree in Business Administration, Hospitality Management, or a related field; or significant experience in travel and events coordination.
  • At least 1 year of relevant experience.
  • Strong organisational and communication skills.
  • Proficiency in Google Calendar, ERP systems, and MS Office applications (Word, Excel, PowerPoint).
  • Ability to manage multiple tasks efficiently and under tight deadlines.
  • Can start immediately.
  • Australian work rights are required for this position.
Key Responsibilities:
  • Travel Desk Reservations:

    Manage all company travel arrangements, including airline and hotel bookings. Handle corporate accounts for airline bookings and corporate/group hotel contracts.
  • Internal Events Management:

    Schedule internal meetings and events via Google Calendar. Oversee the setup of meeting supplies (e.g., water, pens, coffee, AV equipment) for various meeting rooms.
  • Documentation Coordination:

    Route documents for the President & CEO's approval and ensure smooth follow-ups with other departments on pending approvals. Manage the ERP system for approved documents and coordination with admin and accounting teams.
  • Administration Billing:

    Prepare monthly office expenses for airline bookings, utilities, and transportation apps (e.g., Grab for Business). Handle the billing for corporate and executive office credit cards used for business purposes.
  • Miscellaneous Functions:

    Ensure adherence to health and safety policies. Perform other tasks as assigned by management.

  • A proactive approach to handling both routine and ad-hoc tasks.
