Project Administrator with Procore Exp

We are seeking a highly organised and detail-driven Project Administrator to support the successful planning, coordination, and delivery of projects. This role ensures projects are completed on time, within budget, and within scope, while managing contracts, documentation, and supplier compliance across the business.
KEY RESPONSIBILITIES:
- Prepare, review, and manage sales and purchase contracts, ensuring accuracy and alignment with project requirements.
- Negotiate contract terms with internal stakeholders, suppliers, and external business partners.
- Review, update, and maintain existing contracts to ensure relevance and compliance.
- Explain contract terms and conditions to managers, team members, and relevant stakeholders.
- Ensure employees and suppliers understand and comply with contractual obligations.
- Identify, analyze, and communicate potential risks associated with contract terms.
- Monitor legislative and regulatory changes, coordinating with legal support when required.
- Track and ensure all contractual deadlines, deliverables, and conditions are met (e.g., terms, shipping, compliance documents).
- Maintain a well-organized system for physical and digital contract records.
- Develop and implement language standards and templates for new and existing contracts.
- Work independently and collaboratively with the Project Team, supporting both Project and Site Managers.
- Demonstrate strong organizational and time-management skills across multiple priorities.
- Vet new suppliers to ensure ABNs are current and all required insurance, licenses, and compliance documents are provided.
- Ad hoc tasks for other areas of the business from time to time
QUALIFICATIONS:
- Minimum of 3–5 years' experience in project administration, contract administration, or a similar role.
- Experience in construction, engineering, or project-based environments is an advantage.
- Experience with Procore Construction Software
- Strong understanding of contract processes, compliance requirements, and risk identification.
- Experience managing contract templates, revisions, and documentation control.
- Ability to interpret contractual language and communicate terms clearly to stakeholders.
- High attention to detail with strong organizational and documentation skills.
- Proficient in Microsoft Office Suite and general project admin tools.
- Strong communication and stakeholder management skills.
- Strong analytical skills and risk awareness.
- Proactive, able to work independently, and take initiative.
- Collaborative approach to working with cross-functional teams.
- High accuracy and consistency in documentation and compliance tracking.
