Collections Specialist

We are seeking a highly skilled and motivated Collections Specialist to join our team. As a key member of our collections effort, you will be responsible for leading end-to-end collections activities for service and installation invoices.

About the Role

You will operate independently, developing and executing a collections strategy that drives cash collections while providing exceptional customer service. Your primary objective is to collect outstanding invoices in a timely manner, identifying opportunities for upselling and cross-selling along the way.

Key Responsibilities:
  • Call Execution:
    • Make outbound calls via RingCentral; maintain high right-party contact (RPC) and promise-to-pay (PTP) conversion.
    • Negotiate payments, payment plans, and settlements; secure same-day collections when possible.
    • Handle objections and resolve disputes effectively.
  • Collections Strategy & Ownership:
    • Own the A/R aging pipeline, prioritizing accounts and driving a disciplined dunning cadence.
    • Escalate appropriately; build weekly/monthly plans to hit cash targets and reduce Days Sales Outstanding (DSO).
  • Customer Service & Upsell:
    • Provide solutions-oriented service; identify and close or hand off simple upsells without distracting from collection goals.
  • Cross-Functional Coordination:
    • Partner with Dispatch/Service, Install, and Accounting teams to resolve ticket discrepancies and billing errors.
  • Reporting & Compliance:
    • Produce daily/weekly dashboards and a month-end summary.
    • Maintain compliance with applicable laws and company policies.
Success Metrics (KPIs)
  • Monthly Cash Collections vs Target.
  • Aging reduction & DSO improvement.
  • Dispute cycle time.
  • Call quality and documentation completeness.
Requirements
  • Voice & Communication: Clear, neutral tone; confident phone presence; empathetic negotiation style.
  • Collections Expertise: Fluent in collections terminology and levers.
  • HVAC/Field Service Context (nice to have): Familiar with service tickets, work orders, POs, install vs service billing, warranty/recall workflows.
  • Objection Handling: Proven track record turning
