Job Summary

We are seeking a highly organized and detail-oriented Executive Secretary to join our team at Silverdab Corporation. The successful candidate will provide administrative support to our Executive Management and Operations & Maintenance Administrator, ensuring the smooth operation of our office.

Key Responsibilities
  • Greets and assists visitors to the office, providing a warm and welcoming experience.
  • Screens phone calls and routes callers to the appropriate party, ensuring timely and efficient communication.
  • Takes detailed minutes during meetings, capturing key decisions and actions.
  • Organizes schedules and vehicle assignments, ensuring seamless coordination.
  • Assists in preparing regularly scheduled reports, providing valuable insights and data.
  • Ensures the operation of equipment by completing preventive maintenance, calling for repairs, and maintaining equipment inventories.
  • Provides general support to Executive Management and O&M Administrator, handling requests and queries with professionalism and discretion.
  • Reviews and forwards administrative invoices to the Accounting Team, ensuring accuracy and timeliness.
Requirements
  • Graduate of BS in Business Administration or related field.
  • At least 1-2 years' experience in office management or a related field.
  • Working knowledge of office management systems and procedures.
  • Proficient in MS Office.
  • Comfortable with shifting demands and priorities.
