Job Title: Executive Assistant (Notion Expert)

An executive assistant with expertise in Notion supports client operations in a fast-paced, multi-service environment.

Key Responsibilities:
  • Project management and calendar organization within Notion to coordinate real estate shoots and post-production timelines.
  • Drafting follow-up emails, coordinating appointments, and preparing polished client-facing materials aligned with brand standards.
  • Keeping communications and files organized; tagging leads in CRM and ensuring timely responses across platforms.
  • Assisting with preparing client proposals, internal reports, production checklists, and delivery folders with accurate formatting.
  • Coordinating real estate media shoots, delivery timelines, and internal resource scheduling.
Qualifications & Experience:
  • Minimum 5.5+ years of experience supporting executives in creative or service-based businesses, preferably with real estate media or production workflows.
  • Taking initiative, working independently, and offering solutions before being asked.
  • Excellent written and verbal communication skills, comfortable drafting professional correspondence and interacting with clients.
  • High proficiency in Notion required, familiarity with project management tools, G Suite, Dropbox, and CRM also preferred.
  • Prioritizing, meeting timelines, and managing logistics without constant oversight.
  • Supporting internal team performance and client satisfaction by anticipating needs and acting as an integrator.
