Job Summary

We are seeking a highly skilled and organized Medical Administrative Assistant to support our healthcare partner, a Tennessee-based physical therapy team. This role combines executive administrative support with medical office tasks, requiring exceptional attention to detail and organizational skills.

Main Responsibilities
  • Provide high-level administrative support to the executive leadership team, ensuring seamless execution of priorities and smooth operations.
  • Prepare documents, reports, and correspondence, maintaining accuracy and confidentiality at all times.
  • Assist with scheduling, email management, and task tracking, prioritizing multiple responsibilities and meeting deadlines.
  • Extract, input, and manage data/KPIs for executive review, providing insightful analysis and recommendations.
  • Coordinate with leadership to ensure effective communication and collaboration, driving business outcomes and growth.
  • Verify patient insurance coverage and obtain pre-authorizations for procedures, ensuring timely and accurate processing.
  • Update and maintain patient files with insurance and clinical information, adhering to regulatory requirements and industry standards.
  • Track the status of insurance claims and liaise with providers to resolve issues, minimizing delays and maximizing reimbursement.
  • Respond to patient inquiries and FAQs, providing empathetic and informative support.
  • Send appointment reminders and assist with scheduling support tasks, ensuring efficient use of time and resources.
  • Prepare and process basic reports, ensuring accuracy and completeness of records.
  • Maintain electronic medical records (Net Health/Therapy Source), adhering to HIPAA guidelines and best practices.
Requirements and Qualifications
  • Proven experience as an Executive Assistant or Medical Administrative Assistant, demonstrating expertise and adaptability in a fast-paced environment.
  • Strong organizational skills, attention to detail, and excellent verbal and written communication skills, with the ability to build strong relationships with stakeholders.
  • Proficiency with key platforms: EMR/Billing, Payroll, CRM, Data/Reporting, Insurance portals, and other relevant software applications.
  • Ability to manage multiple priorities, work independently, and meet deadlines, with a focus on delivering high-quality results and exceeding expectations.
