Job Title

We are seeking a highly skilled and detail-oriented professional to fill the role of Executive Assistant/Medical Scheduler/Receptionist. This position requires prior experience working in a medical setting, handling sensitive patient information and coordinating schedules.

  • Manage executive calendars, travel arrangements and meeting coordination.
  • Serve as the first point of contact for patients, clients and partners via phone, email or virtual reception.
  • Schedule medical appointments, follow-ups and patient reminders with accuracy and care.
  • Maintain and update patient and office records in scheduling systems and CRMs.
  • Support executives with document preparation, meeting notes and task follow-ups.
  • Ensure smooth day-to-day coordination of office and scheduling operations.
Required Skills and Qualifications
  • Prior experience in a medical setting is required.
  • Previous experience as a Medical Scheduler, Receptionist or Executive Assistant is preferred.
  • Knowledge of HIPAA regulations and ability to handle sensitive patient information with discretion and confidentiality.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office / Google Workspace; experience with scheduling or CRM tools is a plus.
