A critical role in medical records retrieval awaits the right candidate. As a Legal Intake Specialist, you will be instrumental in collecting records for our law firm clients.

Job Description

You will play a pivotal part in the medical records retrieval process. Your attention to detail directly impacts the speed and quality of records collection.

  • Key Responsibilities:
    • Provider Research & Identification
      • Identify relevant providers associated with client treatment.
      • Locate billing providers and related entities using tools like Chartswap, prior requests, and direct provider calls.
      • Add identified providers to the request in the admin app.
    • Request Creation & Quality Control
      • Review incoming ROIs (Release of Information forms), correcting incomplete or inaccurate information.
      • Prepare accurate base forms and generate complete submission packets.
      • Conduct QA review of each ROI packet, ensuring correct cover letters, affidavits, and provider-specific requirements.
    • Request Assignment & Escalation
      • Assign requests to appropriate records team member based on workload and utilization.
      • Identify special provider requirements or edge cases and escalate to Client Success Manager.
      • Coordinate with law firms' case managers to resolve missing or conflicting information.

Must-Have Qualifications:

  • Prior experience requesting medical records from providers on behalf of law firms.
  • Strong attention to detail to prevent delays in record retrieval.
  • Proficiency in Adobe and PDF editing/combining tools.
  • Excellent written and verbal communication skills.
  • Proactive problem-solving mindset to manage multiple requests simultaneously.

Bonus Qualifications:

  • Familiarity with Chartswap or other medical records exchange platforms.
  • Experience in U.S.-based legal or healthcare settings.
  • Spanish-speaking proficiency (a plus).
