Medical Records Specialist Opportunity

We are seeking an experienced Medical Records Specialist to join our team in a remote work arrangement. As a key member of our healthcare support staff, you will play a vital role in maintaining the confidentiality and integrity of patient records.

Key Responsibilities:
  • Receiving, validating, and fulfilling medical records requests from families, external billing companies, payers, attorneys, and other authorized agencies.
  • Verifying identity and authority of requestors, confirming scope, purpose, and expiration of authorizations, and checking minimum necessary alignments.
  • Routing requests and proposed record sets to treating clinicians and psychiatric providers for review and approval.
  • Documenting approvals and holds in the records log and retaining dated confirmations.
  • Maintaining accurate and detailed records, applying naming conventions, paginating and assembling PDFs, and redacting restricted content as directed.
  • Sending records via approved secure methods, recording date/time, contents, recipient, method, and authorizing document.
Requirements:
  • 2+ years of experience in medical records, health information management, payer documentation support, or billing/finance operations in a healthcare setting.
  • Proven knowledge of HIPAA privacy/security requirements and the minimum necessary standard.
  • Strong written communication skills, with concise, professional, and empathetic email correspondence.
  • High accuracy with document handling, PDF redaction, and file organization.
Preferred Qualifications:
  • Experience serving adolescent/family populations or behavioral health programs.
  • Prior work supporting a third-party billing company or payer audits.
  • Familiarity with ROI nuances for minors/guardianship, custody orders, and psychotherapy notes.
