Medical Records Specialist

We are seeking a highly organized and detail-oriented Medical Records Specialist to join our team. The ideal candidate will have prior experience requesting medical records from providers on behalf of law firms, with a proven ability to meet turnaround time and throughput targets.

Key Responsibilities:
  • Identify all relevant providers associated with a client's treatment and locate billing providers using tools such as Chartswap.
  • Ensure accurate addition of identified providers to the request in the admin app and review incoming ROIs for completeness and accuracy.
  • Prepare accurate base forms and generate complete submission packets, conducting thorough QA reviews to ensure cover letters, affidavits, and provider-specific requirements are correct.
  • Maintain high documentation accuracy in internal and client-facing notes, assigning requests to the appropriate records team member based on workload and utilization.
  • Escalate special provider requirements or edge cases to the Client Success Manager and provide 100% coverage for urgent backup tasks.
  • Contribute to process improvements and support training and onboarding of new team members.
Requirements:
  • Prior experience requesting medical records from providers on behalf of law firms.
  • Strong attention to detail and proficiency with Adobe and PDF editing/combining tools.
  • Excellent written and verbal communication skills and a proactive problem-solving mindset.
  • Ability to manage multiple requests simultaneously and work in a remote environment.
