As a medical records retrieval specialist, you will play a vital role in the intake process. Your primary responsibility is to ensure that every request is accurate and complete.

Key Responsibilities:
  • Provider Research & Identification
    • Identify all relevant providers associated with a client's treatment.
    • Locate billing providers and related entities using tools such as Chartswap and direct provider calls.
    • Add all identified providers to the request.
  • Request Creation & Quality Control
    • Review and correct incoming ROIs (Release of Information forms).
    • Prepare accurate base forms and generate complete submission packets.
    • Conduct a thorough QA review of each ROI packet.
  • Request Assignment & Escalation
    • Assign requests to the appropriate records team member based on workload.
    • Identify and escalate special provider requirements or edge cases.
    • Coordinate with law firms' case managers to resolve missing or conflicting information.
Requirements:
  • Prior experience requesting medical records from providers.
  • Strong attention to detail.
  • Proficiency with Adobe and PDF editing/combining tools.
  • Excellent written and verbal communication skills.
  • Proactive problem-solving mindset.
