Virtual Support Specialist

We are seeking a highly organized and proactive Virtual Support Specialist to support our business. This role is ideal for someone with excellent communication skills and experience in customer service, scheduling, administration, and light marketing tasks.

  • Part-time (25 hours/week; can grow to full-time)
  • Remote: Australian working hours
Job Responsibilities
  1. Handle 15-20 inbound and outbound calls daily from new and existing clients
  2. Respond to email and text inquiries, including follow-ups and accounts receivable reminders
  3. Schedule jobs and assign them to the appropriate field staff using a job management platform
  4. Manage CRM and lead pipeline through a customer relationship management tool
  5. Update job statuses and customer information in the job management platform
  6. Upload invoices to an accounting system
  7. Create and post weekly updates on social media platforms
  8. Support potential expansion into additional social media channels using existing brand assets
  9. Promote and leverage customer testimonials
  10. Manage client's calendar and appointments
  11. Handle light reporting and follow-up tasks as needed
  12. Liaise with training providers and track progress
Requirements
  • Excellent English communication (verbal and written)
  • Previous experience handling inbound/outbound customer calls
  • Strong organizational and multitasking abilities
  • Comfortable learning and using platforms like CRM tools and job management software
  • Tech-savvy with good grasp of modern software tools
  • Experience in social media content management
  • Comfortable working independently and proactively
  • Familiarity with CRM and job management software (training provided)
