Job Summary

We are seeking a highly skilled and organized Executive Assistant to provide administrative support to our General Manager. The successful candidate will be responsible for coordinating logistics, managing complex calendars, and preparing reports and presentations.

Key Responsibilities
  • Communication and Coordination: Communicate with staff on behalf of the General Manager and coordinate logistics for high-level meetings.
  • Project Management: Assist with the development of reports and presentations, and prepare summaries of reports and documents for executive staff review.
  • Information Management: Convey information between executive manager and directors, member agency representatives, officials, and staff.
  • Follow-up and Tracking: Initiate follow-up procedures to ensure projects and tasks are completed and deadlines are met.
  • Calendaring and Travel: Manage complex calendaring, arrange travel, and prepare expense reports.
  • Document Preparation: Type, edit, and compose a variety of documents, including letters, memoranda, reports, and legal forms.
  • Policy Support: Assist policy owners with updating operating policies.
  • Reception and Screening: Receive and screen phone calls, visitors, and correspondence on behalf of the General Manager.
  • File Management: Develop, maintain, and manage accurate and organized filing systems.
  • Other Duties: Perform other related job duties as required.

Requirements: The ideal candidate will have excellent communication and organizational skills, with the ability to work independently and as part of a team. A high school diploma or equivalent is required, with a minimum of 2 years of experience in an administrative role.
