Job Description

As a Proposal Coordinator, you will play a crucial role in managing and developing proposals for all parts of our business. This involves working closely with the Pursuit Teams to coordinate and produce creative, compelling, and quality proposals in response to Requests for Proposals (RFPs).

You will be responsible for responding to Expressions of Interest (EOIs) or Requests for Qualifications/Quotations (RFQs) and other proposal-related requests, ensuring that the response complies with RFP/EOI requirements.

Your duties will include coordinating the pursuit process from capture planning, kick-off meetings through production of client responses, editing, formatting, collating, proofreading, and electronic delivery of proposals (EOIs/RFQs and other requests). You will also need to understand the bid process and collaborate with the Pursuits Team to build bid plans and schedules.

In addition, you will facilitate bid meetings, approval meetings, and track identified actions as required. You will review bid documents and build proposal templates using RFP requirements. You will also coordinate with the Pursuit Team and manage ownership of information essentials for proposals, forms, and questionnaires.

You will update, reformat, and/or rebrand MS Word, MS PowerPoint, and InDesign documents, proposals, statements of qualifications, capability statements, etc. You will assist with data capture for the Sales Support Database, including researching, updating, and compiling corporate information such as project profiles and CVs for proposals.

You will create and maintain a database of project experience, standard proposal questions, and text. You will create proposal templates for submissions. You will prepare charts, graphics, and gather key information for the Proposal Team, including CVs, images, project profiles, and questionnaires for proposals.

You will assist in creating client-specific capability statements. You will maintain boilerplate materials, cataloguing, updating, and retrieval. You will identify and edit existing materials and/or write copy to effectively communicate our services, capabilities, and winning themes.

You will coordinate and manage document production and delivery in PDF format and via electronic tender sites. You will support Client Development needs across sectors and countries. You will contribute to continuous process improvement of the Manila Shared Services Team. You will assist in creating company-wide precedents and keep key databases up-to-date.

You will maintain accuracy of project quotations. You will perform other pursuit-related tasks as needed.
