Job Description

The HR Compliance Associate works directly with the Director of Compliance, in collaboration with the Talent Acquisition Manager, to ensure that employee files remain compliant within the guidelines of all states operating under the Agency's license. This role requires a high degree of accuracy and attention to detail, as well as excellent communication and organizational skills.

Responsibilities
  • Confirm that orientation visits are scheduled and completed for all new hires.
  • Audit employee charts weekly to ensure completion of required onboarding documentation.
  • Ensure I-9 forms are accurately completed and submitted within 72 hours of hire, per USCIS requirements.
  • Verify that the skills checklist is properly filled out and entered into the employee file.
  • Confirm that employee photos are uploaded and present in charts for identification and compliance.
  • Assist in organizing and maintaining digital employee charts, including naming and filing conventions to ensure audit-readiness.
  • Support the compliance team with signature collection for annual policy acknowledgment documents.
  • Monitor timely return of employee references and follow up as necessary.
  • Ensure accurate and timely facilitation of W-4 and Direct Deposit forms to the accounting department.
  • Assist with compliance checks on inservicing documentation, ensuring records are complete and up-to-date.
  • Review the Applicant Tracking System (ATS) daily to track candidate progress.
  • Flag and report delays or issues to the Director of Compliance and Talent Acquisition Manager to ensure smooth hiring workflows.
  • Maintain oversight of compliance-sensitive tasks during pre-employment onboarding.
  • Stay up-to-date on state-specific regulatory requirements related to onboarding, documentation, and licensure for home care staff in various locations.
  • Support compliance and HR teams with special projects, training initiatives, and process improvements.
Skills and Qualifications

Required skills include knowledge and experience with data collection and synthesis into comprehensive reports, as well as familiarity with compliance regulatory standards and laws, including HIPAA compliance. A minimum of a high school diploma or equivalent, or three years of professional experience in Community/Home Health, is also required.
