Administrative Support Specialist

We are seeking a detail-oriented and organized Administrative Support Specialist to support real estate operations in California. This role is focused on providing administrative support for agents, coordinating marketing efforts, and managing day-to-day office activities.

Key Responsibilities:
  • Agent Support & Concierge Services
    • Assist with agent onboarding, maintain checklists for new hires, and provide day-to-day concierge support.
    • Coordinate installation/removal of real estate signs, order materials, and schedule appointments.
  • Marketing & Design
    • Create and update marketing materials using Canva, including flyers, just listed/just sold posts, welcome posts, and market updates.
    • Update agent profiles, headshots, and bios on websites, and coordinate monthly marketing pieces.
    • Support agents with custom listing/buyer template updates and requests, and assist with digital/social media campaigns.
  • Real Estate Operations
    • Access MLS to pull photos and property data, conduct research for the Commercial Team, and compile property data from Crexi.
    • Maintain organizational checklists, monitor listings and leads on a set schedule, and forward leads to appropriate contacts.
    • Follow and update SOPs and documentation to streamline processes.
  • General Administrative Support
    • Assist with scheduling, task tracking, and workflow management, and communicate proactively with leadership.
    • Confirm details and provide support as needed, ensuring seamless office operations.
