Virtual Office Coordinator

We are seeking a highly skilled Virtual Office Coordinator to join our Addmore Outsourcing Inc. team. This role involves managing incoming calls, addressing inquiries, and delivering exceptional customer service across multiple online platforms.
Key Responsibilities:
- Provide top-notch support as the primary point of contact for all incoming communications, including phone calls, emails, and online chat. Respond promptly and professionally to inquiries.
- Manage and coordinate appointments, meetings, and virtual events using online scheduling tools. Ensure scheduling conflicts are resolved, and appointments are confirmed.
- Perform various administrative tasks such as data entry, document preparation, and maintaining digital files. Offer support to team members as needed.
- Deliver a friendly and professional greeting to clients, provide information about services, and ensure a positive experience.
- Maintain and update client and contact information in the CRM system. Ensure accuracy and timeliness.
- Assist in scheduling and setting up virtual meetings and webinars. Ensure participants have necessary links and access information.
- Prepare, format, and manage digital documents, including reports, correspondence, and presentations. Ensure organization and accessibility.
- Provide exceptional customer service by addressing issues or concerns promptly. Resolve problems efficiently and escalate matters to management if needed.
- Utilize online tools and software for communication, scheduling, and document management. Troubleshoot any technical issues that arise.
- Additional coursework or certification in office administration, business, or a related field is a plus.
Requirements:
- Previous experience as a receptionist, administrative assistant, or in a customer service role is preferred.
- Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
- Proficiency in using virtual office tools, scheduling software, and office applications (e.g., Microsoft Office, Google Workspace).
- High level of attention to detail and accuracy in handling communications and data.
- Ability to work independently with minimal supervision and maintain productivity in a remote environment.
- Customer-focused with a commitment to providing exceptional service and support.
