
Administrative Assistant for Architecture

We are seeking a highly organized and proactive Administrative Assistant for Architecture to support an architecture manager with daily administrative and coordination tasks. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities.
This individual will be responsible for:
- Email Management: Sort and prioritize emails, draft responses, and flag urgent messages
- Task Organization: Open and organize tasks for the architecture manager
- Task Management: Maintain task management systems and follow up on pending items
- Meeting Coordination: Schedule meetings, manage calendars, and coordinate project timelines
- Document Handling: Handle basic document organization and report preparation
To be successful in this role, candidates must have:
- A minimum of 3 years of experience as an executive assistant, project coordinator, or similar administrative role, preferably in architecture or construction
- Strong organizational and time management skills
- Excellent English communication skills (both written and verbal)
- Experience with email management and task management software
- Proficiency in Microsoft Office (Word, Excel) and Google Suite (Docs, Sheets)
Candidates with the following qualifications will be given preference:
- Familiarity with architectural terminology and workflows
- Experience using ClickUp, Monday.com, Asana, Trello, or similar task management software
