
Administrative Coordinator

This is a senior-level administrative professional position that will serve as a key member of the executive support team. The successful candidate will have extensive experience in providing high-level administrative support to senior executives, and will be responsible for managing complex calendars, coordinating travel arrangements, and handling sensitive communications.
- Calendar & Communications:
- Manage the COO's calendar, prioritizing meetings and ensuring that all necessary information is available prior to each meeting.
- Schedule meetings, confirm logistics, and send follow-up emails as needed.
- Project & Task Management:
- Track ongoing projects, highlight blockers, and ensure timely completion of tasks.
- Maintain operational dashboards using tools like Notion and Airtable.
- Meeting & Documentation Support:
- Attend key meetings, take detailed notes, and summarize action items.
- Prepare agendas, presentation decks, and any pre-read materials.
- Administrative & Personal Task Execution:
- Coordinate travel arrangements, including flights, hotels, and itineraries.
- Handle light personal administration, such as gift sourcing and bill pay.
- Liaise with vendors and support team operations as needed.
The ideal candidate will have a strong background in administrative support, excellent communication skills, and the ability to work effectively in a fast-paced environment.
Requirements:
- 3+ years of experience supporting senior executives in a high-growth tech or startup environment.
- Fluent written English and strong email communication skills.
- Detail-oriented and design-literate, with a focus on delivering clean and beautiful deliverables.
- High emotional intelligence, with the ability to navigate complex situations and prioritize tasks effectively.
- Tech-savvy, with experience using Slack, Google Workspace, Zoom, Notion, and project tracking tools.
