Job Overview

We are seeking an organized and efficient Secretary/Bookkeeper to manage day-to-day activities for our construction operations.

This is a unique opportunity to apply your skills in construction management software or roofing industry software, ensuring seamless project execution and financial management.

Key Responsibilities:
  • Answer incoming phone calls, take accurate messages, and provide customer support
  • Enter work orders, project details, and job updates into the relevant software
  • Prepare and process invoices, and assist with accounts payable and receivable entries
  • Maintain accurate financial and project records in QuickBooks or other accounting software
  • Research permit and license requirements for jobs in various municipalities
  • Coordinate with project managers, estimators, and field crews to ensure timely information flow
  • Maintain organized digital and physical filing systems for contracts, invoices, and project documents
  • Assist with scheduling, correspondence, and other general administrative duties
Requirements:
  • Prior experience in an administrative/bookkeeping role within construction or roofing preferred
  • Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook)
  • Strong communication skills and professional phone etiquette
  • High attention to detail and accuracy in data entry and recordkeeping
