The Legal Assistant plays a vital role in enhancing operational efficiency and effective communication within the team.
This involves handling administrative and operational tasks, including managing internal records, scheduling, and client conflict resolution.
Key Responsibilities:- Operational Support:
- Provide comprehensive support to the legal team, including administrative assistance, task coordination, and ensuring smooth day-to-day operations
- Assist in implementing and improving operational processes and workflows
- Internal Records Review:
- Conduct regular reviews of internal records to ensure accuracy, completeness, and compliance with company policies and legal requirements
- Organize and maintain documentation for easy access and retrieval
- Training Scheduling:
- Coordinate and schedule training sessions for staff members
- Evaluate training programs, communicate effectively, and prepare necessary resources and materials
- Fortnight Scheduling and Reporting:
- Manage and prepare fortnightly schedules and reports, tracking progress on key initiatives and summarizing operational activities
- Provide insights and updates to support decision-making and operational planning
- Client Conflict Resolution Tracking:
- Track and manage client conflict resolution efforts, recording issues, monitoring resolution progress, and ensuring timely and effective conflicts resolution
- Maintain records of client interactions and outcomes
- An associate's degree in business administration, legal studies, or a related field is preferred but not required
- A minimum of two years of experience in a legal or administrative support role is essential
- Experience in operations support, record management, or client service is advantageous
- Relevant certifications in administrative support or legal assistance are beneficial
- Proficiency in office software (e.g., MS Office, Google Workspace) is required
- Strong organizational and multitasking skills are crucial
- Excellent communication and interpersonal skills are necessary
- Ability to handle confidential information with discretion is vital
- Detail-oriented with strong problem-solving abilities is important
