The role of Operations Administrator is a key position within our organization, requiring exceptional organizational skills, attention to detail, and the ability to manage multiple projects and deadlines. The ideal candidate will be proactive, resourceful, and take ownership of complex projects with minimal oversight.

This individual will support the CEO, COO, CFO, and the executive team in various administrative tasks, including coordination across departments, ad hoc tasks, strategic follow-ups, and priority management.

Responsibilities
  1. Administrative Support: Serve as a liaison between leadership, staff, students, volunteers, and external contacts; coordinate departmental initiatives for smooth execution; provide assistance to the COO and CFO with tasks, follow-ups, and deadline management.

  2. Operations & Compliance: Manage park permitting processes at multiple service locations; oversee contracts with universities for occupational therapy student placements (documentation, scheduling, onboarding); coordinate internship and volunteer programs (40+ volunteers annually); assist with Group Assistant hiring (posting openings, screening candidates, scheduling interviews, onboarding).

  3. Project & Data Management: Input and maintain program data in an electronic medical records system (EMR) for accurate billing and service delivery; process and distribute superbills; monitor project deadlines using project management tools.

  4. Technology & Communications: Update the company website with staff changes and program updates; support operational and marketing tasks (SEO updates, social media content, online platform management); record and document processes for training and onboarding purposes.

Requirements
  • Proven experience in Executive Administration or senior support roles.

  • Excellent organizational and time-management skills with the ability to prioritize tasks.

  • Strong written and verbal communication; professional and clear communicator.

  • Ability to work independently, take ownership of tasks, and proactively problem-solve.

  • Proficiency in managing multiple platforms, including ClickUp, Google Workspace (Docs, Sheets, Drive, Forms), EMR systems, Acuity Scheduling, Zoom, LastPass, Loom, and Squarespace.

  • High level of accuracy and attention to detail, especially in compliance-related and data-entry tasks.

  • Experience working in multi-state organizations or environments experiencing rapid growth is beneficial.
