
Effective Property Operations Coordinator

This role is responsible for ensuring seamless day-to-day operations, effective tenant communication, and comprehensive support to our on-site Property Manager.
- Maintenance Management: We lead the maintenance process from start to finish, including work order (WO) triage, vendor/technician coordination, tracking, and ensuring timely completion.
- Tenant Relations & Concern Resolution: We proactively resolve tenant concerns and inquiries, serving as a primary remote point of contact for residents.
- Proactive PM Support & On-Site Coordination: We provide comprehensive remote support to the on-site Property Manager. This involves coordinating all necessary on-site activities, providing detailed instructions, checklists, and scheduling.
- Data Organization & Record Keeping: We maintain accurate maintenance records and property data within our systems, ensuring meticulous organization.
- Rent Collection: We assist with timely rent collection processing, including sending late notices and supporting collection efforts.
Key Responsibilities:
- We coordinate all necessary on-site activities with the Property Manager, providing detailed instructions, checklists, and scheduling.
- We create, assign, and track work orders through completion.
- We coordinate vendor scheduling for non-urgent repairs with tenants and contractors.
- We follow up with tenants and vendors to ensure satisfaction and quality of work.
- We manage vendor invoices and ensure payment approval.
- We are the primary remote communicator for move-in/move-out processes (letters, scheduling, checklist, utility transfers).
- We maintain accurate maintenance records and property data in our systems.
- We ensure timely rent collection processing and assist with late notices and collection efforts.
- We proactively work to resolve tenant concerns and inquiries.
