Job Title: Administrative Operations Specialist
We are seeking a highly skilled and proactive Administrative Operations Specialist to streamline administrative operations, web functionality, and client communications.
Key Responsibilities:
- Design and customize WordPress forms and layouts to enhance user experience
- Configure and manage Salesforce CRM workflows and dashboards to optimize data management
- Provide exceptional client support through timely email communications, scheduling meetings, and follow-ups
- Generate and manage invoices, receipts, and basic bookkeeping entries in accordance with financial regulations
- Coordinate between departments to ensure seamless task updates and completion
- Identify and suggest automation opportunities using tools like Make.com or Zapier to improve efficiency
- Maintain accurate data across systems and support data migration projects
Qualifications:
- Proven expertise in WordPress website management and customization
- Advanced knowledge of Salesforce (or similar CRM platforms) with ability to configure workflows and dashboards
- Familiarity with Make.com or Zapier is a significant advantage
- At least 2 years' experience in executive or virtual assistance roles
- Excellent written and verbal communication skills
- Strong time management and ability to work independently with minimal supervision
- Ability to handle sensitive data with confidentiality and discretion
This role requires a self-motivated individual who can effectively collaborate with team members while handling multiple tools and systems.
