
Customer Experience Specialist

This role offers a fantastic opportunity for someone who wants to work in a collaborative and supportive environment. Our client is a multifaceted enterprise specializing in branding solutions, uniforms, costumes, custom manufacturing, and logistics services.
As a key member of our team, you will be responsible for ensuring seamless client experiences by managing orders from intake to invoicing with accuracy and efficiency. You will collaborate closely with internal teams and clients to maintain operational excellence and clear communication.
Responsibilities include:
- Order Management: Review incoming orders for accuracy, coordinate timelines with vendors, track orders through production and delivery, and update the WIP dashboard daily.
- Client Communication: Respond to client questions, requests, and updates in a clear and concise manner, escalate challenges proactively, and maintain consistent updates with both internal stakeholders and external vendors.
- Invoicing & Follow-Through: Ensure timely and accurate invoicing of completed jobs, handle simple bookkeeping and billing reconciliation tasks, and monitor job status to prevent missed billing or delivery issues.
- System & Workflow Excellence: Maintain up-to-date order status in CRM and WIP tools, flag inefficiencies or risks, and participate in workflow improvement efforts.
- Quote & Pricing Coordination: Request and evaluate quotes from international vendors, identify and recommend the best pricing options to the sales team based on availability and cost.
The ideal candidate will have 2+ years of experience in virtual assistance, customer service, project coordination, or order fulfillment, possess excellent organizational skills with strong attention to detail, and be able to perform simple bookkeeping tasks accurately and independently.
