About This Role:
We are seeking a highly skilled and experienced Senior Administrative Professional to join our team. This is a remote job opportunity that requires exceptional organizational, time management, and communication skills.
The ideal candidate will have a strong track record of providing high-quality administrative support and assistance to senior-level executives. Key responsibilities include:
- Managing calendars, coordinating meetings, and ensuring all appointments run smoothly and on time.
- Handling confidential correspondence and serving as the primary point of contact for internal and external communications.
- Conducting research on industry trends, best practices, and comparative data, presenting findings in clear, actionable reports.
- Preparing financial summaries, including creating statements or invoices, tracking payments, and recording expenses.
- Organizing and maintaining files, documents, and other essential records.
- Managing data entry tasks, such as preparing lead lists, transcribing audio, and compiling meeting minutes.
- Monitoring ongoing projects, ensuring timely communication between teams, and tracking deliverables.
- Coordinating team calendars and preventing scheduling conflicts.
- Planning and preparing executive travel itineraries, booking accommodations, and handling logistics.
- Drafting and managing emails, following up on correspondence, and organizing inboxes according to executive preferences.
- Synthesizing data into cohesive reports and creating presentation slides for meetings and conferences.
- Overseeing account profiles, managing reviews, and uploading relevant media content as needed.
- Performing miscellaneous tasks to support the executive's needs and priorities.
Key qualifications include:
- University Bachelor's degree from a reputable institution.
- Exceptional English communication skills (C1 - C2 Level).
- Strong organizational and time management skills.
- Tech savvy and familiar with current technologies, such as desktop sharing, cloud services, and VoIP.
- Experience with word-processing software and spreadsheets (e.g., MS Office).
- Knowledge of online calendars and scheduling (e.g., Google Calendar).
- Proactive attitude and willingness to be trained.
