Tasks, Functions, and Responsibilities

The Property Management Assistant with Accounting Expertise is responsible for keeping the accounting records up-to-date and accurate.

They will generate the required periodic and regular reports as well as ad-hoc accounting-related reports that may be requested.

In addition, they will provide administrative and secretarial support, develop and maintain the itinerary and appointment schedules of the entire operations of the property.

They are also in charge of preparing business correspondences and agendas for meetings, including coordinating all departments and/or staff regarding work orders and instructions from upper management.

Day-to-Day Tasks

  • Administrative management, including directory maintenance, inventory, supplier sourcing, and logistics transactions.
  • Handling the transmittal of Daily Time Record summaries to head office for payroll processing.
  • Processing Move-In and Move-Out and arrear reporting to accounting, including orientation and turnover reports.
  • Bookkeeping functions, including preparation of monthly financial statements and bank reconciliations.
  • Maintaining financial records in a complete and systematic manner.
  • Performing general administrative management tasks, including directory maintenance, inventory, supplier sourcing, and logistics transactions.
  • Creating Daily Time Record summaries to be submitted to head office for payroll processing.
  • Handling processing of work permits, move-ins, and move-outs, gate passes, etc.
  • Securing permits and licenses as applicable.
  • Preparation of Daily Cash Position Reports.
  • Billing and collection.
  • Deposit of collections.
  • Consolidation and preparation of Statement of Accounts.
  • Preparation of checks for disbursements.
  • Secretarial support during meetings, events, and other activities between the company and client.
  • Maintaining records of unit owner's 201 files, amenities reservations, and others.
