We are seeking a skilled and organized Clinic Administrator to provide exceptional administrative support in our fast-paced aesthetic clinic environment.
Main Responsibilities:- Prepare and process documentary requirements for annual permit applications, ensuring timely submission and compliance with regulatory standards.
- Coordinate staff schedules efficiently, minimizing downtime and maximizing productivity.
- Maintain accurate records of clinic supplies, monitoring inventory levels and implementing cost-effective ordering strategies.
- Process purchase orders and collaborate with suppliers to ensure seamless delivery and receipt of goods.
- Oversee machine maintenance and repair schedules, guaranteeing optimal equipment functionality and reducing downtime.
- Manage payroll timekeeping accurately, ensuring prompt payment and adherence to employment regulations.
- Draft, distribute, and file company announcements and memos, maintaining transparency and open communication among staff.
- Approve employee leaves and overtime requests, balancing business needs with employee well-being.
- Conduct sales audits and monitor bank deposits, safeguarding financial assets and preventing loss or theft.
- Administer petty cash, documenting transactions and supporting documentation to ensure audit compliance.
- Bachelor's degree from an accredited institution.
- Proven experience in administrative and marketing roles, demonstrating expertise in workflow management and team collaboration.
- Aesthetic clinic experience essential, showcasing understanding of industry-specific operations and customer service standards.
- Excellent verbal and written communication skills, facilitating effective interaction with clients, colleagues, and external partners.
- Highly organized and disciplined, with the ability to prioritize tasks and manage competing demands.
- Willingness to work extended hours when required, reflecting adaptability and commitment to meeting deadlines.
- Superior interpersonal and customer service skills, fostering positive relationships and delivering exceptional client experiences.
