This is an exciting opportunity for a highly organised and detail-focused individual to join our team as an Administrative Assistant. The role requires strong organisational skills, confidentiality, and professionalism while upholding the highest standards of accuracy in financial tasks like invoicing, payroll, and bookkeeping.
Key Responsibilities:- Provide administrative support to senior management.
- Assist with HR administration, including new employee onboarding and maintaining personnel records.
- Organise meetings, calendar appointments, and documentation for key business activities.
- Coordinate and manage travel bookings, accommodation, and itineraries.
- Provide ad hoc administrative support as required.
- Client invoicing – Ensure all invoices are generated, sent, and followed up professionally.
- Receivables management – Follow up on outstanding client payments in a timely manner.
- Accounts payable – Enter and track payables to ensure obligations are met.
- Payroll coordination – Assist with PAYG, superannuation deductions, and payroll processing.
- Cashflow management – Monitor and track fixed costs and revenue.
- Maintain and update CRM with monthly sales data.
- Process client invoices and track receivables, ensuring timely payments.
- Oversee employee onboarding and offboarding, ensuring all processes are followed correctly.
- Maintain the company asset register and ensure compliance with internal policies.
- Ability to manage confidential information with discretion.
- Strong organisational skills, including previous experience in a support role.
- Attention to detail, consistently delivers precise and error-free work.
- Experience in financial administration, invoicing, and bookkeeping.
- Strong proficiency in Xero (Payroll, Cashflow, Financial Reporting).
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Proactive approach to problem-solving.
- Experience with CRM software.
