We are seeking a highly organized and detail-oriented administrative professional to join our team as an Executive Assistant / Bookkeeper.
This is a remote position that requires strong organizational skills, attention to detail, and the ability to work independently. As an Executive Assistant / Bookkeeper, you will support the business owner directly and keep the office organized, even virtually.
Manage QuickBooks for bookkeeping, payroll coordination, and invoice creation
Process timecards and pull reports
Assist with job costing, contract tracking, and ordering materials
Manage emails, schedules, contracts, and general admin tasks
Support the business owner by tracking deadlines and keeping tasks prioritized
Communicate with vendors and handle sensitive information with discretion
- Bookkeeping: Manage QuickBooks for financial record-keeping, payroll coordination, and invoice generation.
- Timecard Processing: Process timecards and generate reports as needed.
- Job Costing: Assist with job costing, contract tracking, and material ordering.
- Administrative Support: Manage emails, schedules, contracts, and general administrative tasks.
- Priority Management: Track deadlines and prioritize tasks to ensure timely completion.
- Vendor Communication: Communicate with vendors and handle sensitive information with discretion.
Requirements:
To be successful in this role, you will need excellent organizational skills, attention to detail, and the ability to work independently. You should also have experience with QuickBooks and be proficient in Microsoft Office.
