As a key member of the Human Resources team, you will play a vital role in sourcing, screening, and onboarding qualified candidates to support staffing needs. This position is responsible for developing and maintaining recruitment pipelines for various clinical, administrative, and service-oriented positions across industries.

You will collaborate closely with department heads, HR staff, and hiring managers to ensure workforce needs are met in a timely and compliant manner. You will contribute to strategic workforce planning efforts and help drive process improvements within the talent acquisition function.

This specialist will be responsible for:

  • Posting job openings and managing applicant tracking systems
  • Conducting phone screens, candidate assessments, and interview coordination with hiring teams
  • Creating and maintaining candidate pools for high-volume, mission-critical roles
  • Maintaining weekly hiring activity reports and providing regular updates to HR leadership
  • Drafting and sending offer letters, facilitating reference checks, and initiating background screenings
  • Coordinating new hire onboarding and orientation in partnership with HR generalists
  • Managing onboarding and offboarding processes for positions recruited for, ensuring smooth transitions, exit documentation, and internal workflow completion
  • Participating in employee orientation tasks as scheduled by the supervisor, including welcome sessions, systems onboarding, and policy briefings
  • Attending and participating in regular HR and team meetings as scheduled by the supervisor
  • Maintaining a centralized list of approved staffing agencies and coordinating with them to support urgent or temporary staffing needs when in-house recruitment efforts are underway
  • Ensuring payroll adds or removes new and terminated employees from master compensation sheets accordingly
  • Based on position title, ensuring the appropriate supervisor is assigned to new hires in Paycom
  • Drafting and issuing all new hire offers/contracts based on job descriptions and role-specific guidelines
  • Enrolling all new hires into orientation by scheduling orientation dates and assigning a lifecycle liaison; documenting these assignments on the HR Dashboard Google Sheet and notifying staff of changes
  • Ensuring all active job descriptions in Paycom with assigned position seats remain posted through a corresponding requisition at all times, even after the position is filled
  • Sponsoring Indeed ads only for vacant positions
  • Screening all applicants daily with the goal of zero unscreened applicants at the end of each day; rejecting unqualified applicants and rating qualified applicants to build a strong candidate pool
  • Ensuring continuity of services during personal absences by designating ranking staff to assume responsibilities beyond normal non-working hours
  • Responding to voicemails within 2 business hours
  • Acknowledging email inquiries within 1 business hour; if outside scope, warmly transferring to an appropriate team member
  • Initiating resolution of intranet tickets within 4 business hours
  • Representing the organization at job fairs, career events, and community outreach activities
  • Maintaining strong relationships with universities, training programs, licensing boards, and community partners
  • Collaborating with compliance and credentialing staff to ensure all hires meet required qualifications
  • Conducting workforce data analysis to monitor time-to-fill, turnover, and sourcing trends
  • Recommending enhancements to recruitment platforms, outreach efforts, and employer branding strategies
  • Assisting the supervisor with any work-related tasks as requested
