Job Title: Administrative Assistant

Job Overview:

We are seeking a highly skilled administrative assistant to join our team. The successful candidate will be responsible for providing exceptional support to our operations, ensuring seamless data management and efficient workflow.

  • Data Management: Perform accurate data entry into various business platforms, including Ascora, Monday.com, and Ontrack.
  • Information Transcription: Transcribe and migrate information from PDFs, emails, spreadsheets, and job documents into structured formats and other platforms.
  • Digital Record Maintenance: Maintain and update digital records with a strong focus on accuracy and completeness.
  • Data Transfer: Import/export data between systems.
  • Process Improvement: Identify gaps or inefficiencies in processes and contribute to process improvement initiatives.
  • SOP Development: Create, write, and update your own SOPs (Standard Operating Procedures) as tasks and systems evolve.
  • Research and Development: Dedicate time to researching how to best use the platforms we work with to ensure optimal data handling.
  • Collaboration: Collaborate with internal team members to clarify unclear inputs and ensure alignment on expectations.
  • Workspace Organisation: Maintain an organised digital workspace for all assigned records and files.
Required Skills:
  • At least 2 years of experience in a data entry or administrative support role.
  • Proficiency with tools such as Microsoft Excel, Google Sheets, and digital workflow platforms.
  • Strong communication skills and a willingness to learn independently.
  • High attention to detail and accuracy in data handling.
  • Comfortable researching and experimenting with unfamiliar software platforms.
Nice to Have:
  • Experience with any of the following platforms: Ascora, Monday.com, Ontrack.
  • Background in construction, trade services, or similar industries.
  • Familiarity with document processing tools and basic automation techniques.
  • Working knowledge of Excel functions.
