This role plays a pivotal part in driving efficiency across day-to-day operations and supporting team members in achieving their goals. As an Administrative Support Professional, you will be responsible for managing executive and team calendars, scheduling meetings, and coordinating virtual appointments.
Key Responsibilities:- Manage calendars, schedule meetings, and coordinate virtual appointments to ensure seamless execution of tasks.
- Monitor and respond to emails, manage follow-ups, and draft communications as needed to maintain effective communication channels.
- Support the creation of presentations, reports, and sales documentation by gathering relevant information and presenting it in a clear and concise manner.
- Maintain and update CRM systems with lead and client data to ensure accurate tracking and analysis of business performance.
- Assist in lead generation and outreach tasks by conducting research and making strategic recommendations.
- Conduct research to support strategic initiatives and client engagements by gathering data and analyzing market trends.
- Track project deadlines and follow up on action items to ensure timely completion and effective project management.
- Organize and maintain digital files and documentation to ensure efficient access to critical information.
- Coordinate internal communication across teams to foster collaboration and drive results-oriented outcomes.
- Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
- Excellent written and verbal communication skills to effectively communicate with stakeholders and present ideas.
- Strong organizational and multitasking abilities to prioritize tasks, manage multiple projects, and meet deadlines.
- Proficiency in Google Workspace, Microsoft Office, and communication platforms such as Zoom and Slack.
- Familiarity with CRM tools such as HubSpot, Salesforce, and Apollo is a plus.
- A high level of discretion and confidentiality to handle sensitive information and protect company assets.
- The ability to work independently, manage time effectively, and meet deadlines to deliver high-quality results.
- Prior experience supporting sales or executive teams to understand their needs and deliver tailored solutions.
- Knowledge of project management tools like Asana, Trello, or Monday.com to streamline workflows and improve productivity.
- A background in customer service, sales operations, or marketing is a bonus to bring new perspectives and ideas to the table.
