
Virtual Operations Assistant

We are seeking a highly skilled Virtual Operations Assistant to join our team. The successful candidate will be responsible for managing various administrative tasks, providing exceptional customer service, and ensuring seamless operational flow.
Process and manage incoming and outgoing mail, including sorting and routing correspondence.
Provide top-notch customer service by addressing inquiries, resolving issues, and demonstrating strong interpersonal skills.
Sort and distribute vendor invoices to the billing and accounts payable departments as necessary.
Order and track product inventory, receive and forward documentation to the ASB inventory/sales support team for completion.
Communicate with vendors to confirm order receipt and meet client delivery timelines.
Utilize workflow management systems to track orders from production schedules to delivery dates.
Manage backorder processes, including identifying backorders and replacing products with comparable options.
Tackle accounts receivable aging by taking proactive measures to reduce outstanding balances.
Support clients with administrative duties, ensuring accuracy and validity of information.
Create and update records, maintaining the highest level of detail and precision.
Enter information into databases, adhering to established protocols and standards.
Perform ad-hoc duties as assigned by management.
Requirements:
Education: A degree in Marketing, Business Administration, or a related field is preferred.
Experience: 3–5 years of experience in Customer Service, Data Entry, Administrative Assistance, or similar roles is required.
Language Proficiency: Excellent spoken and written English communication skills are essential.
Schedule: Must be available to work U.S. EST hours, which may include graveyard shifts in PH time.
Technical Skills:
Strong understanding of office management systems and procedures.
Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and Google Suite (Sheets, Gmail, etc.).
Familiarity with tools like Wild Apricot, JotForm, Canva, SharePoint, Slack, and social media platforms.
Ability to quickly learn company-specific systems.
